Seasonal Shop Review: Returning Farms

This article is for farms who have set-up GrownBy in the past. If you're a new farm on GrownBy, this checklist/SOP is for you.

Use this checklist when you're an established GrownBy farm preparing to launch a new CSA season. This article on transitioning from one season to the next is also recommended reading before you begin. 

Notes
Note: The below list focuses on updates and changes needed seasonally rather than a full account review.

Farm Profile

  • Update any changed farm information (contact info, etc.)
  • Refresh photos if you have new imagery for the season

Account Settings

  • Cart minimum: Does your cart minimum need adjustment for the new season?
  • Offline Payment message: Double check that this is still accurate.
  • Taxes and fees: Have any tax rates or fee structures changed?

Locations

  • Review delivery zones for any zip code additions or fee changes
  • Confirm pickup locations are still accurate (any new or discontinued locations?)

Schedules

  • Create new schedules for the upcoming season with correct dates OR update dates on last year's schedules
  • Double check start dates, end dates, and order cutoff windows

CSA Groups

  • Update automated messages if needed:
    • New order message
    • Missed pickup message
  • Confirm schedule and location switching settings still match your preferences

Products

  • For existing shares:
    • Update product descriptions if offerings have changed
    • Update schedules to reference your new season schedules; update product availability
    • Verify number of distributions matches your season length
    • Update final installment dates
    • Review and adjust deposit amounts if needed
  • For new shares: Set up completely and verify all settings (schedule, pricing, distributions, deposits)
  • For weekly veggie boxes: Confirm future ordering is still enabled (only allow next date purchasing turned off) and schedule is updated
  • Verify taxes and fees are still correctly applied (Product export makes it easy to see this in one place)
  • If using early bird pricing, update promotion end dates

Promotions

  • Set up new early bird promotions with current season dates, if applicable
  • If offering site coordinator/volunteer/staff shares, and using promotions to do so, verify coupons and promotions are correctly set-up

EBT

  • If offering EBT, confirm your EBT share is updated for the new season with correct schedule and pricing

Final Check

  • Test the customer shopping experience by viewing your public shop
  • Verify all dates display correctly from a customer's perspective
