Admin Roles and Inviting a New Admin to Your Farm

GrownBy allows multiple administrator accounts with different logins. This allows a farm to share info on GrownBy with collaborators without sharing some info that might be more sensitive (like your distribution volunteers don’t need to see your Stripe payouts!) Each admin account has a specific role assigned to it which controls what parts of your GrownBy account they have access to. 

There are four roles available: Owner, Admin, Accountant, and Distributor. 

This is what they mean:

Owner- This is the email address that claimed the farm. There is only one owner role, but the roles mirror the admin. No one can remove the owner role from the account. If you need to change the owner of your account, contact GrownBy support. 

Admin - An admin has access to all parts of your GrownBy account. People assigned this role might include Farm Owners, managers, etc. 
 
Accountant - An accountant has access to the financials. They can see the Dashboard main view, Your Shop, Customers, Invoices, Orders, and Farm Info. Accountants don’t see your Products, Schedules, Locations, etc. 

Distributor - A distributor is someone who helps distribute your products. Perhaps they are a CSA site-manager, a delivery driver, a packhouse manager, or have a similar role in your business. A distributor has access to the Dashboard main view, Your Shop, Customers, Orders, Invoices, Distributions (including sign-in sheets, importantly!), and Farm Info. Distributors can’t see sensitive financial or payment information. 

Creating a New Admin

First, go to your dashboard and click Account & Set-up. Scroll down to the Farm Team section and at the bottom of the section click Add New. It looks like this: 



When you click on Add New, a pop-up will appear that looks like this: 





Select the role that you would like to assign and enter the person’s email address into the next field. Click “Invite”. 

The new admin will receive an invitation via email that looks like this: 



Once they click Accept Invite, they will be asked to create and login to their new GrownBy account. If they already have an account, they will just be able to login and then will see a screen asking them to Accept the Invitation. It looks like this: 



Once they’ve accepted the invitation, they will be able to access whatever parts of GrownBy their role allows.
